Information on applying
Students from partner universities must apply to their home university for a place in the Central Student Exchange Program at Universität Hamburg.
After you have received your nomination and scholarship approval from your home university, and once Universität Hamburg has accepted your application, the Central Student Exchange Program coordinator forwards your application to the Erasmus Team, which will then initiate the further steps required for the disbursement of the Erasmus scholarship.
The application process for funding for students from Georgia is coordinated by the International Office of the Faculty of Business, Economics and Social Sciences.
The application process for funding for students from Oman is coordinated by the Asia-Africa Institute of the Faculty of Humanities.

After receiving your placement and funding approval in the Central Student Exchange Program, you will receive a link to register in Mobility Online, where the Erasmus grant application is carried out.
Forms to submit after registration for the Erasmus grant application.
To receive the first installment of your Erasmus grant, you must complete the mandatory steps in Mobility Online and upload all required documents. Please make sure to use the forms provided by the Department of International Affairs.
Before your stay
- After your application has been accepted by Universität Hamburg, you will be enrolled at Universität Hamburg and, if applicable, can apply for a dormitory room.
- In parallel with enrollment, register in Mobility Online, complete your personal data, and upload all required documents.
- The enrollment certificates from both your home university and Universität Hamburg for the full duration of your mobility must be uploaded to the database.
- The Learning Agreement for Studies Part I: Before the Mobility must be fully completed, signed by all three parties, and uploaded to the database before you begin your stay abroad. Please follow the Learning Agreement for Studies (PDF) guide when completing the Learning Agreement for Studies.
Top-Ups for students with fewer opportunities.
If any of the following top-ups apply to you, confirm this in your workflow. Print the declaration on honour generated in your workflow, sign it, and upload it again. You will receive an additional €250 per month on top of your regular funding. Even if several categories apply, the top-up is granted only once.
- Students with a child abroad.
- Students with a disability (degree of disability of 20 or above).
- Students with chronic illnesses.
- Students from non-academic households.
- Working students who must interrupt or end their employment due to their mobility.
- Students whose additional costs significantly exceed the lump sum (e.g., due to physical limitations or childcare abroad) may apply for reimbursement of actual costs. This application must be submitted to the Erasmus Team at least two months before the start of the stay.
A detailed explanation of all top-ups can be found on the website Additional funding in the Erasmus+ programme.
Travel allowance.
- Students using standard air travel receive a travel allowance automatically calculated based on geographic coordinates. The allowance is paid together with the first installment.
- Students undertaking green travel (up to 4,000 km), meaning that more than 50% of the journey is completed using sustainable transport (train, bus, car-share, bicycle, walking), may apply for a higher travel allowance and up to six additional travel days. If green travel applies to you, print the sworn declaration from your workflow, sign it, and upload it.
The Grant Agreements for Studies.
Sign the Grant Agreement for Studies and upload the document to your workflow. The document will then be signed by the Erasmus+ officer at your university.
During your stay
- On the first day of your study period (first day of classes), have your Confirmation of Stay (Part I) signed at your host university and upload it to the database. If you attend a preparatory language course organised by the host university, the first day of that course counts as the first day of classes and must be entered on the Confirmation of Stay.
- After uploading Confirmation of Stay (Part I), the first installment (70% of the total grant) will be paid out.
- If you make changes or additions to your course selection, enter them in the Learning Agreement for Studies Part II: During the Mobility. Course changes can be entered up to five weeks after the beginning of your stay. Upload this document as well.
- On the last day of your academic stay (last day of classes, last exam date, submission of term paper, etc.), have your host university sign the Confirmation of Stay (Part II) and upload it to the database.
After your stay
- Upload the fully completed Confirmation of Stay (Part I and Part II) to the database.
- Complete the online EU Survey on your computer. You will receive the link shortly before the end of your stay at Universität Hamburg. Participants who indicate in the EU Survey that their recognition process has not yet been completed will receive a second survey on recognition after 45 days, which must also be completed.
- As soon as you receive your Transcript of Records from your host university, upload this document to the database. As soon as you have submitted all required documents and filled in the online EUSurvey, your second grant installment will be paid.
Once all required documents have been submitted and the online EU Survey has been completed, your second installment will be paid.
The DAAD approves Erasmus+ funding at the end of June or beginning of July. At this time, the grant amount for students for the following academic year is determined. The final calculation is done on a daily basis and is subject to approval by the National Agency at the DAAD.
- Months with 31 days are calculated on the basis of 30 days.
- A mobility grant can only be paid if your Erasmus study stay lasts at least two months. In case of withdrawal or falling below the minimum duration, any grant already paid must be repaid. In such cases, a subsidy is only possible with a medical certificate and subject to approval by the DAAD.
- Multiple participations in the Erasmus+ program, with a maximum duration of 12 months per study cycle, are possible. If you have already participated in Erasmus in the past, you may be funded again under Erasmus+.
